Actinic's stock monitoring system works off-line. This means that stock levels of your items are altered as orders are downloaded into Actinic or created within Actinic. Stock levels are not altered while customers place orders on the web site.
Within 'Business Settings | Options', there is an area called 'Stock Monitoring' where you can change the default settings for stock monitoring for the entire store.
The settings within this area are as follows:
Field |
Meaning |
Disable Automatic Stock Monitoring |
Select this if you do not want your stock levels to be automatically decreased as new orders are downloaded or created within Actinic. |
Default "Warn if Below" |
If, as you download orders (or create a new order in Actinic), the stock level moves below this level, then you will receive a warning. This level can be overridden for individual products. |
Default "Suspend if Below" |
If as you download orders (or create a new order in Actinic) the stock level moves below this level, then you will receive a warning - and the 'Add to Cart' button will be replaced by a message that says 'Out Of Stock'. This level can be overridden for individual products. You will need to update your online store in order to show this change to your customers. To change the text of the message, go to 'Design | Text' and search for 'OUT OF STOCK'. |
There are two places to enter/view a stock level for a product.
· Within the 'Stock' tab of an individual item
· Within the 'Operations | Stock Levels' window
The 'Stock' tab of a product allows you to view/edit the stock level for a product.
The settings within this tab are as follows:

Select this box if you want the stock level of this product to be monitored. |

Note 1: You can enter negative values in the warn and suspend fields so that you continue to allow customers to place orders despite knowingly being out of stock.
Note 2: If a product is below the suspend level and that product is associated with a component of a different product, the customer will not be able to purchase the component. For more information about components, please see What Are Components?
Note 3: If you subsequently delete or cancel an order line, then the stock is added back. For information about order lines The 'Line Items' Tab - Viewing Ordered Items.
The 'Operations | Stock Levels' window allows you to view
the stock levels in your entire product range. You can also open it with the
button on the toolbar.
The 'Select Product Type' filter can be used to only view products with "stock warning given", or view products with "ordering suspended". Alternatively you can view "all products" or just the products with "stock management enabled".
Where the 'Warn Below' or 'Suspend' below warning levels are shown in square brackets, then it means that it is using the default warning level set in 'Business Settings | Options'. See above for more information on this.
You also have a 'Print Stock Levels' button available. This is a shortcut to print a relevant 'Stock Levels' report - based on what filter you have selected in the 'Select Product Type' drop-down.
Note: These reports are also available within the 'Catalog' tab of the 'Reports, Exports and Mail' window. See Reports in Actinic for more information.
