Adding Buyers To Your Customer Accounts

Once you have set up your main account information (see Entering Main Account Details) and added one or more addresses to the account (see Adding Addresses To Your Customer Accounts) then you are ready to add one or more 'Buyers'.

Buyers are the actual people that log on with a username and password and buy the goods online.

You can edit the details of a buyer within the 'Buyers' tab of an account ('Operations | Customer Accounts').

The list at the left contains all the buyers that have been set up for the account.

Click 'New' to add a new buyer. The first buyer you create will automatically use the details from the 'Account' tab. The login for the customer will be the email address of the main account contact.

Click 'Remove' to remove the buyer from the list. You need to go to 'Housekeeping | Purge | Purge Customer Accounts' to permanently remove the address from the list.

Note: You can click the 'Copy Details From Order Contact' button to copy in a buyer's details from an order you have received. For a more in depth explanation, see the note in Customer Account Overview.

The settings you can specify for a buyer are as follows:

Field

Meaning

Login

Enter the login (username) for this buyer. It is what the buyer will use to log into the store.

The name is automatically copied to the buyer list on the left. The login for each buyer must be unique across all customer accounts.

Password*

Enter a password for the buyer to use to log into the store. Passwords in Actinic are case sensitive.

Note: You will not be able to exit this tab until a user login name and password have been entered.

Confirm*

Confirm the password that you entered in the 'Password' field.

Salutation

Enter Mr / Mrs / Ms / etc. or leave blank.

Name*

Enter the name of the buyer.

Title

Enter the job title of the buyer

Email*

In the Email field, type the buyer's personal email address.

This will be the address to which a receipt email will be sent when the buyer places an order (if the 'Send Email Confirmation of Orders' button is ticked).

Telephone*

Enter the telephone number for the buyer.

Fax

Enter the fax number (if any) for the buyer.

Status

Select 'Active' or 'Suspended' from the Status drop down.

If you select 'Suspended' then the buyer will not be able to log into the store. This will apply to the buyer only, not the account as a whole.

Send Email Confirmation of Order

Select this box if you would like the buyer to be sent an email receipt for each order they place.

Hide Retail Prices

Not available in Actinic Catalog

When viewing your online store, customer account buyers normally see both your retail price and their customer group price (see Customer Groups). Select this option if you do not want your customer account buyer to see both prices.

This box will only appear if the customer account is in a customer group other than 'Retail'.

Maximum order value

Check the Maximum order value box if this is required, and enter the agreed amount the buyer is authorized to purchase per order.

Invoice Address

The list allows you to specify which address (created in the 'Addresses' tab - see Adding Addresses To Your Customer Accounts) this buyer's orders can be invoiced to. You can also specify whether the buyer can select an address or enter a new address at the time of placing the order.

The 'Invoice Address' list is disabled if the 'Only Invoice Address' field is selected in the Account tab.

Delivery Address

The 'Delivery Address' list allows you to specify which address (created in the 'Addresses' tab - see Adding Addresses To Your Customer Accounts) this buyer's orders will be delivered to. You can also specify whether the buyer can override this at the time of placing the order.

Emailing Passwords to Buyers

Click the 'Send Password' button to generate an email that contains the login and password details for the buyer. This will be sent in the same way as your order confirmation, shipment confirmation and payment confirmation emails.
